​Secretary-Administrative Assistant

Secretary/Administrative Assistant Qualifications Position: Secretary/Administrative Assistant Reporting to: VP’s, Design, building material and ConstructionLocation: Toronto north ( Steels & Dufferin )
Summary: The Secretary/Administrative Assistant will provide professional and confidential support to two key executives located in our Head office. As a proven achiever and polished professional, you have exceptional time management and organizational skills. The successful candidate will be resourceful with an energetic demeanor and a proven track of providing outstanding Personal assistance and a keen interest in Design , building material and construction .Duties and Responsibilities:
• Proactively manage both the executive's calendars by screening requests by priority• Manage travel arrangements and proactively check on cancellations or delays to ensure alternate arrangements are made• Coordinate internal and external meetings day-to-day as well as during markets and festivals - including conference calls, accommodations, schedules, catering, and presentation preparation• Manage and review high level and confidential correspondence• Serve as the primary point of contact for internal and external business partners• Compile expenses and submit monthly reports• Handle requests and concerns with tact and diplomacy • Manage special projects and events as required• Manage personal executive errands as requiredQualifications:• Familiar with Design , Architecture , building material and constructionFamiliar with accounting• Post-secondary education in a related field• The ideal individual will be highly organized, able to manage multiple tasks under tight time frames, and a self-starter who is able to work both independently and function well within a team.• Demonstrate strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with stakeholders across various levels both internally and externally• Demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs is essential• Relationship builder and able to interact respectfully and confidently with internal executives, Secretary/Administrative Assistants and external contacts• Ability to manage efficiently in a multi- tasked environment and ensure deadlines are met by prioritizing work flow• Demonstrated discretion and confidence dealing with highly sensitive matters. . candidates with ability to speak and write , French or Dutch as second language / or any knowledge or experience in construction and design will have better chances
Technical Competencies:
• Exceptional MS Office skills (Excel, Word, PowerPoint and Outlook or MAC based equivalent software )• Strong dictation and typing skills• Excellent oral and written communication skillsWe thank everyone for their interest but only those candidates selected for an interview will be contacted
